Getting started
How do I add my first item?
Tap the orange "+" button in the bottom tab bar. Point your camera at a tool, vehicle, or piece of equipment and tap the shutter button. The AI will identify the item — including whether it's a tool, vehicle, or equipment — along with the brand, model, and estimated value. Review the details, adjust if needed, and tap "Add to Locker." You can also edit any field before confirming.
Do I need internet access to use the app?
You need an internet connection for AI identification (the photo is sent to Google's servers for analysis) and for syncing your inventory. Browsing items you've already added works from the locally cached data.
How accurate is the AI identification?
The AI correctly identifies most common power tools, hand tools, and measuring instruments — plus vehicles (trucks, trailers, excavators, skid steers, scissor lifts) and equipment (generators, compressors, welders, plate compactors) from major brands. It works best with clear, well-lit photos showing the brand name or distinctive features. For less common or generic items, confidence may be lower — you can always edit the name, brand, model, type, and value manually.
Managing your inventory
How do I move an item to a different location?
Tap the item in your inventory to open its detail view, then tap the location row and select the new location. You can choose from Work Truck, Home Shop, or any of your saved job sites.
How do I set up job sites?
Go to the "You" tab, then open Settings. You'll find a "Job Sites" section where you can add up to five named sites (for example, "Ashgrove Reno" or "Downtown Office"). These will appear as location options when adding or moving items.
Can I edit an item's value?
Yes. Tap the item in your inventory and tap "Edit Value" to enter a new amount. The AI-estimated value is a starting point based on current retail pricing — you can adjust it to reflect what you actually paid, current condition, or local pricing.
How do I delete an item?
Tap the item in your inventory, scroll down, and tap "Delete." You'll be asked to confirm before the item is permanently removed.
Are the estimated values accurate?
Estimated values are generated by AI based on current retail pricing data and should be treated as approximations. They are useful as a starting point for insurance documentation, but you can and should edit values to reflect your actual purchase price or current replacement cost. Values are displayed in whatever currency you selected during sign-up.
Importing from a spreadsheet
How do I import items from a spreadsheet?
Go to Settings and tap "Import from Spreadsheet." Pick a CSV, XLSX, or XLS file from your device (up to 5 MB). ToolTracked reads the file and tries to auto-match your column headers to inventory fields — Name, Brand, Model, Serial Number, Value, Location, Item Type, and more. You can adjust the mapping manually if needed. Review the preview to make sure everything looks right, then tap Import. Your items appear in your inventory immediately.
What format does my spreadsheet need to be in?
CSV, XLSX, or XLS. The first row should be column headers (like "Name," "Brand," "Value," "Location"). The app recognizes common variations — for example, "Manufacturer" or "Make" will auto-map to Brand, and "Cost" or "Price" will auto-map to Value. You don't need to rename your columns, but having headers makes mapping much easier.
Is there a limit on how many items I can import?
Free accounts can import up to the 20-item total limit. If your spreadsheet has more rows than you have room for, ToolTracked imports as many as it can and tells you how many were skipped. Rows without a Name are also skipped. Pro users can import unlimited items.
Can I import vehicles and equipment, not just tools?
Yes. If your spreadsheet has a "Type" or "Kind" column, the import will classify items as Tool, Vehicle, or Equipment automatically. It also recognizes type-specific fields like VIN, License Plate, Year, and Hours. If there's no type column, everything imports as a Tool — you can reclassify items in the app afterward.
Pro subscription
What does the free tier include?
Free accounts can track up to 20 items (tools, vehicles, and equipment) with full AI camera identification, search, filters, and dashboard stats. No credit card required and no time limit.
What does Pro include?
Pro ($4.99/month or $49.99/year) gives you unlimited items, the insurance PDF export feature, and all future Pro features as they're released. Multi-currency support is available on all plans, including free.
How do I cancel my subscription?
Go to Settings in the app and tap "Manage Subscription." This opens your subscription management page where you can update your payment method or cancel. Your Pro features remain active through the end of your current billing period. After that, your account reverts to the free tier, but none of your items are deleted — you just won't be able to add more than 20 or generate insurance reports.
Insurance export
What's in the insurance report?
The PDF report lists every item in your inventory grouped by type — tools, vehicles, and equipment — with name, brand, model, serial number (if recorded), estimated value, location, and photo. For vehicles, the report also includes VIN and license plate where you've recorded them. It includes your name, the report date, and summary totals. You can share it directly with your insurance provider.
Is the report accepted by insurance companies?
The report provides a comprehensive, photo-documented inventory that most insurers will accept as supporting documentation for a claim or policy application. However, each insurance company has its own requirements — check with your provider to confirm what they need.
Privacy and data
Who can see my inventory?
Only you. Your inventory is private and secured with row-level security in our database. We do not share your data with other users, advertisers, or third parties.
What happens to my photos?
When you scan an item, the photo is sent to Google Gemini for identification and stored in your private storage bucket. Photos are not shared publicly or with other users. You can read more in our
Privacy Policy.
Can I delete my account?
Yes. Go to Settings in the app and tap "Delete Account." This permanently removes your account and all associated data from our systems. If you can't access the app, you can also email
support@tooltracked.com and we'll handle it for you.
